About the role

LAAGAM is an independent fashion brand based in Barcelona. As our store network and retail team grow, the volume of people administration, recruitment and employee-relations work is growing with them.

We are looking for a hands-on freelance Retail People Operations Specialist to support the day-to-day management of our store teams. This is a practical role: keeping contracts and payroll inputs on track, following up on schedules and leave, supporting recruitment and helping managers handle employee issues properly.

You will work closely with our Retail team, store managers, Finance and our external payroll and labour advisers. The role is designed for someone who already understands the reality of retail teams and can bring order, follow-through and sound judgement to recurring people operations.

Retail people administration

  • Coordinate hires, terminations, contract changes, renewals and probation-period follow-up with the relevant internal and external partners.
  • Keep employee records and documentation complete, signed and up to date.
  • Collect and validate monthly payroll inputs, including new starters, departures, variable pay, absences and other incidents, before sending them to Finance and the payroll provider.
  • Maintain a reliable view of holidays, sick leave, other absences and leave requests.
  • Support store managers with schedules, working calendars, shift changes and time-related incidents.
  • Apply the relevant retail collective agreements in day-to-day processes and escalate cases that require legal review.

Employee relations and manager support

  • Be the first operational People contact for store and area managers.
  • Help managers handle performance, conduct, attendance and team-conflict cases with clear documentation and follow-up.
  • Coordinate with our external labour adviser when a case requires specialist legal input.
  • Make sure sensitive cases have a clear owner, next step and written record.

Recruitment and onboarding

  • Coordinate recruitment for store roles: publish vacancies, review applications, manage the first filter and organise interviews.
  • Use Hireflix for asynchronous first-round interviews and keep the candidate pipeline updated.
  • Coordinate offers, pre-boarding, documentation and first-day readiness with store managers.
  • Track open roles, hiring lead times and candidate status so recruitment does not depend on scattered messages.

Processes and reporting

  • Build and maintain practical checklists, templates and policies for recurring retail People processes.
  • Keep a weekly tracker of headcount changes, open recruitment processes, absences, pending documents and employee cases.
  • Identify recurring administrative problems and propose a simpler way to handle them.
  • Handle employee data with the confidentiality and care expected in an HR role.

What success looks like

  • Hires, terminations, contracts and payroll inputs are completed on time and without avoidable errors.
  • Holiday, absence and schedule information is accurate and easy for the Retail team to follow.
  • Store managers know the status and next step for every open employee matter.
  • Recruitment processes move quickly and candidates receive clear communication.
  • Recurring People processes are documented and no longer depend on one person's memory or inbox.

What we are looking for

  • At least 2 years of hands-on experience in People Operations, HR administration or a similar role, ideally supporting retail, hospitality or another multi-site business.
  • Practical experience with several of these areas in Spain: hires and terminations, contracts, payroll inputs, schedules, holidays, sick leave, collective agreements and employee relations.
  • A clear understanding of how store teams work, including shifts, peak periods, turnover and the need to resolve issues quickly.
  • Organised and reliable follow-through. You can manage several open cases without losing deadlines or documentation.
  • Good judgement with sensitive employee matters and the ability to distinguish an operational question from a case that needs legal advice.
  • Professional fluency in Spanish. Working English is useful for international stores, tools and partners.
  • Available for a freelance collaboration of around 20 hours per week and able to invoice from Spain.

What we offer

  • Freelance, part-time collaboration with an expected dedication of around 20 hours per week.
  • Flexible organisation of the work, with regular coordination with the Retail team and availability for time-sensitive employee matters.
  • €2,000–€2,500 per month plus VAT, depending on experience and the final agreed scope.
  • A hands-on role with direct impact on the day-to-day work of our growing store teams.
  • The possibility of expanding the role into broader company-wide HR responsibilities if the collaboration and LAAGAM's growth justify it.
  • Start date: as soon as possible.
